SUMMARY:

  • Assists the Director of Admissions in obtaining required information and admitting residents in an efficient manner, in accordance with established policies and procedures.
  • Serves as back-up to the Director of Admissions during vacations and on weekends as needed.
  • Serves as back-up to the Private-Pay Biller for Daily Census reports.
  • Communicates in a courteous and professional manner with all levels of staff within our community as well as physicians, residents, families, visitors, and government agencies.

 

DELEGATION OF AUTHORITY:

As the Admissions Assistant you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties.

 

EMPLOYMENT AT WILL:

Employment with Fahrney-Keedy is “at will”. Either the associate or Fahrney-Keedy may terminate the employment relationship for any reason at any time without notice, regardless of the length of employment or the granting of benefits of any kind, including but not limited to benefits which provide for vesting based on length of service.

 

CONFIDENTILITY:

Fahrney-Keedy associates recognize that Fahrney-Keedy has and will have information regarding financial, personal and medical affairs and other vital information (collectively, “information”) which are valuable, special and unique assets of Fahrney-Keedy. Associates agree that they will not at any time or in any manner solicit, collect or divulge any Information to any third party without the prior written consent of Fahrney-Keedy. This information is Company property which may not be disclosed outside the facility unless properly released for publication. Associates will protect the Information and treat it as strictly confidential. Associates should not discuss Fahrney-Keedy affairs with others.

Supports Admissions by providing basic information as inquiries are received.

 

 

Verifies insurance coverage.

 

 

Develops a good working rapport with people of all ages, their families, and designees.

 

 

Possesses flexibility, independence, and integrity and works with hospital discharge staff and outside referral agencies.

 

 

Possesses a solid working relationship with all Fahrney-Keedy departments.

 

 

Provides accurate information and referrals to prospective residents, families, and designees.

 

 

Conducts full campus tours (pre-scheduled and walk-in requests) to prospective residents, families, and designees.

 

 

Interviews residents, guardians, designees and obtains required admission information and signatures.

 

 

Thoroughly reviews admission contracts with residents, guardians, designees, etc.

 

 

Ensures all admission paperwork is completed in a timely manner and forwards to the appropriate departments.

 

 

Possesses the ability to handle hostile and/or emotionally upset residents, families, and designees.

 

 

Generates insurance authorizations.

 

 

Enters independent living, assisted living, skilled, and long-term care admissions information into MatrixCare and updates information as needed.

 

 

Works with appropriate staff to ensure vacant rooms, suites, apartments, and/or cottages are move-in ready. Communicates readiness to all appropriate departments.

 

 

Backs up for Private-Pay Biller with Daily Census reports.

 

 

Room Changes:

  • Contacts clinical group to determine what rooms work best.
  • Makes notifications and completes forms.
  • Sends forms to Unit Clerk to upload into system.
  • Documents room moves.

 

 

Emergent Transfer Forms:

  • Ensures forms are accurate and complete.
  • Prepares a short note to say the forms are for record purposes only – no signature is required.
  • Sends form to primary Contact via First Class/Certified Mail.
  • Scans and uploads Certified Mail receipt under Social Services.

 

 

Power-of-Attorney / Advance Directives:

  • Upon admission, asks if a Power-of- Attorney or Advance Directive is in place.
  • If new admission has a Power of Attorney and/or an Advance Directive, requests copies for our files.
  • Sends an e-mail to Social Services to notify them of the new admission’s documents.

 

 

 

 

 

 

WORKING ENVIRONMENT:

The work environment characteristics described here are representative of those an associate may encounter while performing the essential duties of this position.   • Works in office areas as well as throughout the facility.
  • Moves intermittently during working hours.
  • Subject to frequent interruptions.

  • May work beyond normal working hours and on weekends and holidays when necessary and may work in other positions when necessary.
  • Subject to call-back during emergency conditions (i.e., severe weather, evacuation, post disaster, etc.)
  • Is involved with residents, families, designees, visitors, government agencies, staff, etc.
  • Is subject to hostile and emotionally upset residents, families, designees, visitors, etc.
  • Is involved in community/civic health matters/projects.
  • Attends and participates in educational programs.
  • Maintains a liaison with residents, families, staff, etc. to assure that the residents’ needs are continually met.
  • Subject to injury from falls, burns from equipment, odors, etc. throughout the workday, as well as reactions from dust, disinfectants, and/or other air contaminants.

 

 

RESIDENT RIGHTS:

 

  • Maintains the confidentiality of all resident care information including protected health information. Reports known or suspected incidents of unauthorized disclosure of such information.
  • Ensures that all residents are treated fairly with kindness, dignity, and respect.
  • Ensures that all nursing care is provided in privacy.
  • Knocks and waits for permission to enter all residents’ rooms.
  • Reports all grievances and complaints made by residents, family members or designees to the Nursing Supervisor or Charge Nurse.
  • Reports all allegations of resident abuse and/or misappropriation of resident property to the Fahrney-Keedy Abuse Coordinator.
  • Honors a resident’s refusal of treatment request. Reports such requests to Nursing Supervisor.

 

 

 

 

SPECIFIC REQUIREMENTS:

 

  • Must be able to read, write, speak and understand the English language.
  • Must be a supportive team member, contribute to and be an example of teamwork and team concept.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must possess the ability to deal tactfully with staff, residents, family members, visitors, government agencies/personnel, and the general public.
  • Must possess the ability and willingness to work harmoniously with all staff.
  • Must have patience, tact, a cheerful disposition and enthusiasm, as well as the willingness to handle difficult residents.
  • Must be knowledgeable in the use of computers, data input/retrieval/output functions, etc.
  • Must be willing to seek out new methods and principles and be willing to incorporate them into existing nursing practices.
  • Must be able to relate information concerning a resident’s condition.
  • Must not pose a direct or indirect threat to the health and safety of other individuals in the workplace.

 

 

EDUCATION:

 

  • High School Diploma or GED.

 

 

PHYSICAL & SENSORY REQUIREMENTS (With or Without the Aid of Mechanical Devices):

 

  • Must be able to move intermittently throughout the workday.
  • Must be able to speak and write the English language in an understandable manner.
  • Must be able to cope with the mental and emotional stress of the position.
  • Must be able to see and hear or use prosthetics that will enable these senses to function adequately to ensure that the requirements of this position can be fully met.
  • Must function independently and have flexibility, personal integrity, and the ability to work effectively with residents, staff, and support agencies.
  • Must meet the general health requirements set forth by the policies of this facility, which include a medical and physical examination.
  • Must be able to relate to and work with the ill, disabled, elderly, emotionally upset, and, at times, hostile people within the facility.
  • Must not have a weight-lifting restriction. Must be able to push, pull, move and/or lift to a minimum height of 5 feet and be able to push, pull, move, and/or carry a minimum distance of 50 feet.
  • May be necessary to assist in the evacuation of residents during emergency situations.
