Job Title: HR Coordinator Department: Human Resources

Reports to: Director of Human Resources and facility NHA Effective Date: 4/17/2026

 

Job Summary:

The primary purpose of the Human Resource Coordinator is to support all phases of Human Resources activities by working closely with the HR Director, facility NHA, and all other members of the Fahrney-Keedy team. This position serves as a technical point of contact for assigned functional areas and assists others with ensuring data integrity, policy interpretation, and day-to-day HR operations.

Supervisory Responsibilities: This position does not include supervisory responsibilities.

Duties/Responsibilities:

  • Payroll processing bi-weekly for Coffman Nursing Home and backup for Fahrney Keedy facility.
  • Works with facility accountants and business department on payroll processing.
  • Maintains awareness of expenses related to HR for their facility and is able to communicate with facility accountants regarding costs.
  • Manages and approves invoices for HR related costs in Bill.com or other designated software.
  • Performs full-cycle recruitment including advertising, reviewing applicants’ qualifications, verifying clinical certifications and licenses, routing applications to appropriate hiring directors for review, interviewing, extending job offers to selected applicants, checking references, completing all required pre-employment searches and background checks, conducting pre-employment drug tests, and onboarding candidates.
  • Uses current application tracking system for adding and posting new vacancies, closing jobs that have been filled, reviewing applicants’ qualifications, routing applications to appropriate hiring directors for review, and updating the system as applicants move through the process.
  • Participates in representing facility at job fairs and other recruiting events for the facility as needed.
  • Maintains accurate, verified I-9 records for current 1and terminated employees according to retention regulations.
  • Maintains employee files in compliance with COMAR, including new hire requirements as well as thorough on-going documentation as employment progresses.
  • Processes new hire paperwork, enters data into various systems including but not limited to:
    • UKG or current HR/payroll software
    • Employee Navigator or current benefit enrollment site
    • Relias or current training program software
    • OnShift or current scheduling software
  • Complete all changes and updates into all HR and relevant employee systems/software, such as status changes, job changes, benefit changes, terminations.
  • Maintains all appropriate termination documentation and is prepared to respond to unemployment claims with or without Director/Supervisor assistance.
  • Maintains accurate records of licenses including, but not limited to, RN, DRN, LPN, Dietitian, GNA, C.N.A., CMA, Med. Tech, PT, PTA, OT, COTA, SLP, etc. Provides notice to employees of pending renewal deadlines, renews licenses, submits renewal charges for payroll deductions, and updates Payroll/HR software as well as electronic HR files.
  • Administers Fahrney-Keedy’s 90-Day and Annual Performance Evaluation program, reminding and assisting supervisors with completion.
  • Participates in various committees including, but not limited to:
    • Safety committee
    • Quality Assurance
    • Retention/Employee Engagement/Wellness
  • Leads and/or participates in employee event planning such as National Nursing Home week celebrations, holiday parties, and regular employee spirit/appreciation days
  • Informs employees of all benefits available upon hire. This position requires familiarity with benefit offerings as outlined in our employee handbook and employee benefits guide based on status of the employee.
  • Educates employees regarding their ability to participate in company 401k program. Processes enrollments, makes edits to employee profile in payroll system, keeps information current in American Funds or current 401k plan sponsor site.
  • Completes 401k deposits bi-weekly as part of payroll processing procedures.
  • Works with HR Director and Insurance Brokers to facilitate annual employee benefit open enrollment.
  • Maintains working knowledge of the comprehensive employee benefits packages and is able to speak intelligently to employees on this subject as well as answer basic questions.
  • Guides Directors and Supervisors regarding workers’ compensation and employee injuries, including, but not limited to:
    • Distributing employee injury packets and provides guidance on completion.
    • Reporting all employee injuries within 24 hours to the designated worker’s compensation carrier and notifying HR Director.
    • Works with the rest of the management team to coordinate light duty and monitor employees progress as they recover from a work injury.
    • Maintains employee injury data on facility OSHA 300 log and provides it to HR Director annually.
  • Provides basic guidance (asking HR Director when necessary) to supervisors and management team for employee relation items including, but not limited to:
    • Mediation of employee conflict
    • Progressive disciplinary process
    • Attendance tracking
    • Coaching and mentoring
    • Serve as a witness/mediator/neutral party for some conversations/interactions between employees and/or management.
  • Maintains a strong familiarity with the employee handbook.
  • Receives employee concerns and documents them, obtaining written statements as directed.
  • Assists HR Director and management team in employee suspensions and investigations.
  • Loads training in Relias or training software for new employees as well as mandatory annual training for existing employees.
  • Monitors and audits completion of employee training.

    • Relias

 

 

Education and Experience:

High school diploma or equivalent.

Prior HR Experience is a plus, but not required

Positive attitude and willingness to learn are more important!
